Introduction

In addition to the case reception email address automatically generated by Matter Management, you can add any email address of your choice.

Using an email address that is familiar within your company enhances the credibility of both the sender and recipient, and allows for management in accordance with your company’s system and email policies.

*Please note that using this feature requires additional configuration, such as DNS settings, which differs from Normal usage. Please be aware of this before using the feature.

*If companies within a group (such as parent companies, subsidiaries, or affiliates) use the same domain, cases may be received by a different Tenant. If you use a common domain across group companies, be sure to set up your company’s own subdomain and coordinate in advance to prevent duplication. Setup Process

This setup requires collaboration between the LegalOn module administrator (hereinafter referred to as the "Module Administrator") and your company’s System department (hereinafter referred to as the "System Department").

Since tasks such as DNS configuration are divided among different departments, we recommend confirming the workflow with your System department from the outset before proceeding.

Important Note

  • If the same domain is used across group companies (such as parent companies, subsidiaries, and affiliates), cases may be accepted into a different tenant. If you use a shared domain across group companies, be sure to configure your company’s unique subdomain and coordinate in advance to prevent duplication.   • To use a custom email address, you must configure DNS settings on a dedicated domain specifically for project submissions.

  • Please ask a responsible person within your internal company (such as the IT department) to handle the DNS settings.

  • You must complete DNS authentication after registering the Email address.

Customize and add a project reception Email address

1. [System Administration Department] Prepare a domain dedicated to cases related to case reception emails

Please prepare a domain dedicated to case reception that supports DNS configuration.

If you wish to use a domain that aligns with your existing company domain, please set up a subdomain.

Example:

If your company domain is " legalon.com " → no-reply@[subdomain].legalon.com

Important Note

  • If the same domain is used across group companies (parent company, subsidiaries, affiliates, etc.), cases may be accepted by different Tenants. If you use a common domain across group companies, be sure to set up your company’s unique subdomain and coordinate in advance to prevent duplication. If you have any questions, please contact us for more information before implementation.

  • This setting links your domain to the LegalOn mail server.
    Setting up a domain used for normal business operations may interfere with email transmission, so please prepare a domain dedicated exclusively to case acceptance.

Note

The following email address formats are supported.

  • Local Part

    • Character count: 1–64 characters

    • Permitted characters: Alphanumeric characters and -, _, +, .

  • Domain

    • Character count: 4-100 characters

    • Number of labels: Must be 2 or more (e.g., example.com)

    • Label format

      • Allowed characters: Alphanumeric

      • Character count: 1–63 characters

2. [Module Administrator] Temporarily register an Email address

② Click [+ Add Email Address]

③ In the [Step 2: Temporarily Register Email Address] section, enter the email address you decided on in “1. [System Administration Department] Prepare a dedicated email domain for case reception emails,” then click [Temporary Registration]

④ In [Step 3: Configure DNS Settings], click [Copy], then share the copied DNS records with the System Administration Department

Clicking [Close] after copying the DNS records will not reset the settings. You can return to this screen later.

Important Note

After provisional registration, be sure to complete " 3. [System Administration Department] Configure DNS Settings."

If you proceed to full registration without completing this step, failure will occur in the registration process and an error will occur.

3. [System Administration Department] Configure DNS Settings

① Register the DNS records shared by the module administrator on your DNS server

You must configure the CNAME resource record for email authentication and the MX resource record for receiving email.

② After registration is complete, share the fact that the process is finished with the Module Administrator

4. [Module Administrator] Register the Email address

① After receiving notification that DNS configuration is complete, open the [Project Submission Email Address] settings screen

② Click [Reactivate Registration] to the right of the target Email address

③ In [Step 4: Register Email Address], click [Register]

On the [Case Reception Email Address] settings screen, confirm that the status has changed from [Permanent Registration in Progress] to [Enabled]

Once you have registered, you will be able to send and receive emails using the added email address.

Important Notes

Final registration may take several minutes to several hours to complete. The status will remain [Final Registration in Progress] until final registration is complete.
