This guide explains how to submit case requests and perform message transmission from Microsoft Teams (hereinafter referred to as "Teams") to LegalOn.

This article is intended for the following users. Please also use this information when implementing the system internally.

  • Clients who do not have a LegalOn account

  • LegalOn users (legal professionals)

Usage Requirements

Message Input Limits

  • Character limit: Up to 3,000 characters

Files that can be imported from messages

  • File formats: Please refer to "■ Supported File Formats > ◇ File Formats That Can Be Uploaded from the LegalOn Interface" in " LegalOn System Requirements."

  • File size per file: 10 MB or less

  • Total file size: 20 MB or less

  • Number of files: Up to 10

  • File name: Up to 200 characters (including the file extension)

Important Notes Regarding Cases and Message Transmission

  • Simply mentioning "LegalOn" and sending a message will not apply the case details to LegalOn. Be sure to select the Case Submission Form and submit your case.

  • Messages sent using Teams’ standard features will not be applied to LegalOn. Please enter your message from [Reply in Thread] and post it.

  • Messages cannot be edited or deleted after they have been sent.

  • Please ensure that any attached files meet the requirements listed in the "Terms of Use." If you send a message with a file that does not meet these requirements, there will be a failure in the transmission, and all your input will be lost.

[For Clients] Submitting a Case from Teams

When requesting a case from Teams, you can create a channel within your team to request the case and conduct related communications within the channel’s thread.

1. Create a channel

① Open Teams and select [Teams]

② Click [...], then [Add a channel] for the team you belong to

③ On the channel creation screen, configure the following settings and click [Create]

Be sure to select [Post] for the layout.

2. Request a Project

① Open the channel you created in the steps under " 1. Create a Channel " and click [Post in Channel]

② Enter the subject and message, then click [Post]

③ Mention "LegalOn Matter Management" and select [Display List of Case Intake Forms] from the suggestions

"Display Case Intake Form List" will be automatically inserted into the message.

④ Click [Post]

A list of case intake form options will be posted to the thread.

⑤ Select a case intake form and click [Open]

⑥ Enter the details of your request in the case submission form that opens in a separate browser (or tab), then click [Review Submission] → [Submit].

For information on how to fill out the case submission form and its restrictions, please enter " 【For Clients】Submitting a Case from the Case Submission Form."

Once the case submission form is transmitted, a case will be created on the LegalOn case list screen.

Additionally, the request details will be posted to both the [Teams] tab on the case details screen and the Teams channel.

Note

The [Teams] tab displays only on the Details screen for cases requested from Teams.

The [Teams] tab does not display on the details screen for cases created through other methods (such as creating or requesting a case from the product interface or email).

[For Both Requesters and LegalOn Users] Transmission of a message from a Teams thread to the case details screen

1. In the [Reply in Thread] field of the thread where you submitted the case intake form, enter the mention "LegalOn Matter Management"

*Do not click [View Case Intake Form List], which appears when you add a mention.

2. Enter your message and click [Transmission]

The message will be posted to both the [Teams] tab on the case details screen and the Teams channel (thread).

Note

To attach a file to your message, click [+] → [Attach File] from the [Reply in Thread] section.

<RECOMMENDED> Pin or Save messages in the channel

When this feature is enabled to request cases from Teams, you can create multiple threads within a channel and send case requests to LegalOn from each thread.

If multiple threads are active within a channel, we recommend using the following Teams features to prevent mistakes in selecting the correct thread for your conversation.
